Exporting Your Outlook 2010 Contacts To CSV

Outlook lets you manage all of your email accounts from a single place. What it also does is let you save and access your contacts on the computer, so that you don’t have to type in email IDs each time you send a message. There are times when you’ll want to backup your contacts in your Outlook address book to a CSV file, and use this format to export said information to another database. CSV is one of the most favored formats for exporting contact lists, and can be opened and edited using Microsoft Excel.

Here is how to export your contact information from Outlook and save it in a CSV file.
  • Launch the Outlook 2010 email client.
  • Go to the File tab and select Options.
  • Go to the Options dialog box, and choose the Advanced option.
  • Go to the right pane and scroll down till you get to the Export section. Here, select the Export option, to bring up the Import and Export Wizard.
  • When the wizard pops up and asks you what operation to perform, choose Export to a file. Then hit Next.
  • When you get to the Create a file of type page in the wizard, check the Comma separated values (Windows) option. Hit Next again.
  • Go to the Select folder option, and choose the contacts folder that you want to export from Outlook. Hit Next.
  • You’ll come to the Save exported file as page. Here, hit Browse, and enter the name you want to save the exported file under. Hit Next.
  • Make sure that the folder you’ve selected is the right one. If it is, the box will be checked. Hit Finish.
  • When this is done, exit the Outlook Options dialog box.
By following the above steps you have saved the contact information from your chosen folder, into the CSV file you named and specified. There are many databases that this information from Outlook address book can be imported to. You can even use the list to promote your Facebook fan page, or do similarly on other social networks.

Outlook Is Not Just An Email Client

But, if this is the only way that you are using the contacts in the Outlook address book, then you are not making use of the feature to its full capacity. This article discusses some of the ways in which you will be able to tap into the full power of the Outlook program.

Make A Contact From An Email Message

The user can drag and drop a message into the contacts folder to make a new contact automatically using the name and the email address from the message header. The body of the message will appear in the Notes section that can be a valuable reminder of why this particular person contacted you in the first place. If the sender of the message has given their website address, telephone number, email address or any other important information, you will be able to copy it and then paste it into the correct fields.

Assign Categories To Your Contacts

If you have many contacts in your contacts list, it is likely that you might lose track of people that can include the prospective clients also. By assigning categories to contacts, you will be able to easily locate the names of the people that you need to contact for any reason.

The Microsoft Outlook program comes with a number of standard categories, but you may need to make some categories of your own, based on your individual needs. To do this, click on the Edit button, select Categories, then go to Master Category List and then type in your new category. Any categories that are added to the Master Category List will also be available in the Outlook Calendar and Tasks area.

Print An Address Book

Many of the users who use a paper planner does not see the need to type in the address details in Outlook other than the email address and name. Not only is it very easy to print the address book from the Outlook program, but also it offers many options for print layouts, including the layouts for the popular planners like Day Runner, Franklin Covey products and Day Timer.

Transferring Outlook 2003 Details To Outlook 2007

Microsoft Outlook is a popular application employed in many business firms because of its easy accessibility and ease of use. Moreover, it is also best for personal use and is mainly employed to communicate with family and friends. When you are moving from Outlook 2003 version to Outlook 2007 version, you have to move your Outlook 2003 files to the latter. Mainly, the exported file will be in either in the Comma-Separated Values file or the Personal Folders File format. This PST file format helps a user to import and export calendar items, emails and the Outlook address book.

Exporting Microsoft Outlook 2003 Contacts
  • Double click on the Microsoft Outlook 2003 shortcut icon seen in the desktop to launch the application. Once it is opened, click the option named File and from the menu, select the option named Import and Export. This will open the Import and Export dialog box. 
  • From the list of options available in the Import and Export dialog box, select Export to a file. Next, you need to click the button labeled Next and from the options for the file type, select Personal Folder File, followed by clicking the Next button. 
  • Next, from your mailbox, choose Contacts and continue to the next step by clicking the Next button. In the box seen next to Browse, enter a suitable name for the file and click the Next button. 
  • Now, click the button named Browse and this will help you save the exported file to a suitable location. Next, click the Next button and finally conclude the process by clicking the Finish button. Within a matter of minutes, all your Outlook contact information will be exported.
Importing contacts from Outlook 2003 to Outlook 2007
  • Open the Microsoft Outlook 2007 application by double clicking its shortcut icon or by accessing the Start menu. From there, click the option named Tools followed by clicking the option labeled Import and Export. Now an Import and Export window will be opened in your screen. From the list of options available, choose Import Internet Mail and Addresses, followed by clicking the Next button. 
  • From the list, select the option labeled Personal Folder File. Next, click the Next button and then click the Browse button to find the exported Outlook 2003 file. Once located, open that file by clicking the Open button. 
  • Next, select Import Internet Mail and Addresses, followed by clicking the Next button. From there, select Outlook Express and click the button named Next. It is needed to make sure that the box corresponding to Import mail and Import Address book is checked. 
  • This will export the Outlook address book details from Outlook 2003 to Outlook 2007. Selecting the Do not import duplicates option will make sure that there are no duplicate entries in the exported data.
